Privacy Policy
Upklass is a platform that lets organisations run their own online community, classroom, and chat in one place. This policy explains what personal data we collect when you use Upklass, why we collect it, who we share it with, and how you can get it deleted.
Last updated 17 August 2026
1. Who controls your data
Upklass provides the software. Each community on Upklass is operated by the organisation that runs it (your school, company, or group). That organisation decides who may join, what content is posted, and how long the community runs. Upklass processes data on their behalf, and also holds the account you use to sign in.
If you want a post or comment taken down from a specific community, contact that community's administrators. Private messages are outside their reach; only the person who sent a message can hide it. If you want your whole Upklass account deleted, see Account deletion.
2. What we collect
Information you give us
- Account details - your email address, display name, and profile photo.
- Community profile - any student or member ID your organisation assigns you, and your public handle.
- Content you create - posts, comments, direct messages, image and file attachments, event responses, and course progress.
Information collected automatically
- Usage data - which lessons you have completed, which events you have joined, points and rewards earned, and when you were last active.
- Device and sign-in data - a device identifier, approximate location derived from your IP address, browser type, and sign-in times. We use this to detect suspicious account access and to keep you signed in.
- Notification tokens - if you enable notifications, an identifier that lets us deliver them to your device.
Payment information
Upklass does not take payments and does not collect card or bank details. If your organisation pays for Upklass, or charges you for access to their community, that is arranged with them directly and outside this app.
3. How we use your data
- To create and secure your account and keep you signed in.
- To show you your community, courses, events, messages, and notifications.
- To send you transactional email such as sign-in links, invitations, event reminders, and digests.
- To show community administrators activity and progress within their own community.
- To detect abuse, fraud, and unauthorised account access.
- To fix problems and improve the product.
We do not sell your personal data, and we do not use it for advertising.
4. Who we share it with
We share data only with service providers who help us run Upklass, and only as far as they need it:
- Hosting and infrastructure - the providers that run our application, database, authentication, and file storage.
- Video delivery - the provider that stores and streams course lesson videos.
- Email delivery - the provider that sends sign-in links, invitations, reminders, and digests on our behalf.
- Push notification services - the notification service built into your browser or device, which delivers alerts you have opted in to.
- Referral and membership tools - where your community uses our referral or rewards features, we share your email address and which community you are in with the platform that runs them, together with your reward activity, such as the points you have earned, the reward tier you have reached, and whether you have installed the app. Where your community has enabled member IDs, your member ID and a sign-in link are shared as well. That platform may pass the same details on to the customer relationship management system your community uses, where they may be used to contact you.
- Your organisation's other connected tools - where your organisation has enabled a further integration, we may sync your name, email, and member ID to it on their instruction.
We name categories rather than individual companies so that this policy stays accurate as providers change. If you want the current list of named providers, ask us at support@upklass.com.
We may also disclose data if required by law, or to protect the safety of our users.
5. Where your data is stored
Our database and file storage are hosted in Singapore. Some service providers listed above may process data in other countries. Where that happens, we rely on the provider's standard contractual protections.
6. How long we keep it
We keep your account data for as long as your account exists. When you delete your account, your identifying details - name, photo, handle, email, community memberships, and notification devices - are removed or permanently scrambled straight away.
Content you contributed is not erased. Posts, comments, course progress, event responses, direct messages you sent, and reward records remain, with your identity removed so they show as belonging to a deleted member. This is so that conversations and records other people took part in stay readable.
There is no automatic purge, and deleting content in Upklass hides it rather than erasing it - the record is retained so that administrators can review abuse reports and undo mistakes. Posts and comments can be hidden, and restored, by a community administrator. Direct messages can only be hidden by the person who sent them; administrators have no access to private conversations. Images attached to a direct message are treated differently - when the sender deletes the message we also delete the image files themselves, though a link created shortly beforehand can keep working until it expires, up to 24 hours. Records we are required to keep for legal, tax, or security reasons are retained for as long as the law requires.
If you want something permanently erased rather than hidden, email support@upklass.com and tell us what to remove.
Account deletion sets out exactly what is removed and what is kept.
7. Your choices and rights
- Access and correction - you can view and edit your profile at any time in Settings.
- Notifications - you can turn notifications off in Settings, or in your device settings.
- Deletion - you can delete your account yourself. See Account deletion.
- Complaints - if you are unhappy with how we handle your data, contact us and we will respond.
8. Children
Upklass is not directed at children under 13. Where a community is run by a school for younger students, the school is responsible for obtaining any consent required by local law before inviting them.
9. Changes to this policy
If we make a material change, we will update the date at the top of this page and, where appropriate, notify you in the app.
